Summary/Objective

The Development Coordinator for the School of Public Affairs (SPA) is responsible for coordinating and executing events and activities in support of SPA fundraising campaigns. The Development Coordinator provides administrative support to the SPA Development office and serves as a liaison to the SPA Dean’s Office and other internal offices as needed. The Development Coordinator will also serve as a liaison to the Annual Fund and Stewardship and Donor Relations teams on the regular solicitation, recognition, and engagement of current donors. This position is also responsible for processing donations for the School of Public Affairs and managing the logistics for SPA Development focused events. Additionally, the Development Coordinator assists the SPA Development team by providing research on donors and prospects in preparation for meetings, as well as for campaign and event briefings.

Essential Functions

  1. Administrative Support - Provide administrative support to the Chief Development Officer and the Associate Director of Development, including coordinating travel arrangements, research for high level donors and prospects, coordinating the creation of briefing materials, submitting travel reconciliations, and maintaining calendar schedules. Generate gift thank-you letters on behalf of the SPA Dean, Development Officers, and provide notification of new gifts to appropriate offices and department heads, and monthly gift reports to select departments.
  2. Event Planning and Execution - The Development Coordinator is responsible for the planning and execution of SPA Development focused events in preparation for the overall campaign. This includes, but is not limited to, events during All-American Weekend, the Parent’s Move-In Day Reception, Dean’s Advisory Council meetings the Reilly Awards, and new upcoming events that will support the overall campaign. For these events, the Development Coordinator will establish who the top attending prospects are, and create research profiles on these individuals for the SPA Development team and the Dean. The Development coordinator is also responsible for implementing the annual development publication plan, gathering information and drafting reports, and planning logistics required for donor solicitation in preparation for the overall campaign. In collaboration with the SPA Dean’s Office and the SPA Development team, update the SPA communications matrix. Furthermore, this position will also play an integral role in planning and executing Presidential roll out events related to the upcoming campaign as they relate to the School of Public Affairs.
  3. Solicitation and Stewardship - Under the supervision of the Chief Development Officer, serve as liaison with the Annual Fund and Stewardship and Donor Relations to coordinate targeted solicitations for annual gifts, follow up on solicitations, maintain active stewardship of current donors, and support the SPA Development office in managing prospect portfolios to the point of gift solicitation. In accordance with SPA and Development communication plans, fulfill alumni and donor list requests from non-Development units to ensure data integrity, proper use of donor lists, and adherence to standards set by the SPA Development office and the SPA departments. This position will also be responsible for assisting with strategies to engage young alumni through newly developed programming to entice all-ages of alumni in the overall campaign strategy for the School of Public Affairs.

Essential Functions Con't

  1. School of Public Affairs Board Support - Provide support and stewardship for the School of Public Affairs Dean’s Advisory Council and other affiliate groups.  Coordinate meeting logistics, prepare necessary materials, keep and track minutes for annual meetings, and distribute new member packets, letters, and welcome packets as new members join. Ensure all promotional materials are up to date and coordinate material creation with the appropriate parties in preparation for the overall campaign. The Development Coordinator is also responsible for the coordination, stewardship, and execution of high-level donor events for the School of Public Affairs Dean’s Advisory Council, as well as communicating with its members. 
  2. Other duties as needed or assigned by the Chief Development Officer.

Work Environment

  • The Development Coordinator reports to the Chief Development Officer for SPA.
  • The Development Coordinator will also have a dotted line to the Dean of the School of Public Affairs.
  • Periodic night and weekend work required

Salary Range

  • Commensurate with experience.

Required Education and Experience

  • Bachelor’s degree from an accredited educational institution required 
  • A successful candidate must demonstrate a strong attention to detail, ability to prioritize tasks to meet deadlines, and the ability to analyze and articulate reasons for giving. 
  • Excellent written, verbal and interpersonal communication skills are required. 
  • Proficiency with Microsoft Office Suite is required.
  • Familiarity with customer relationship management software, knowledge of gift processing procedures, research, and data management is required. 

Preferred Education and Experience

  • Two or more years of successful experience in a higher education setting required, volunteer management, marketing, and major gift solicitation is preferred.
  • Knowledge of American University's School of Public Service programs, professors, and alumni/-ae is preferred.
