Summary/Objective

As a part of the New Student and Family Programs team, the Coordinator of Logistics & Operations manages the operational and logistical functions of the department’s work to support new students in their transition to the institution and to support their families throughout their time at AU. As a department in the Office of Campus Life, we work to intentionally guide, challenge and support students as they grow and thrive as members of the AU Community on campus and beyond.
 
Specifically, the Coordinator of Logistics & Operations supports finance and human resource functions, digital platforms and data collection, customer service and program and event logistics. This position serves as a key role in the overall implementation of new student and family programming including event planning and execution, staff and volunteer supervision, evaluation and troubleshooting. The Coordinator provides recommendations for improvements in our programming, service delivery, office policies and procedures, particularly those directly within their area of responsibility.
 
This position contributes to the training, supervision and professional development of student and para-professional staff members on the New Student and Family Programs team. This position supports more than 1,800 students and 14,000+ families each year with an annual budget of more than $500,000.

Essential Functions

  1. Finance and Human Resource Administration: Manage all budget and payments for the department. Work with vendors (on and off-campus) to resource materials and services to support the department’s functions including, but not limited to: office equipment, catering, uniforms, printing, mailing, and travel. Manage payment of all approved departmental expenditures. Maintain internal budget records, including tracking expenditures by program/function. Reconcile departmental expenditures. Manage on-boarding process for new student staff including paperwork and account and access permissions.
  2. Digital Platforms and Data Management: Serve as the department’s lead on the application of various digital platforms involved in the team’s work. Update, maintain, and assess the office’s various online orientation modules, engagement platforms, website, customer service tools, VOIP service, on-line meeting/webinar platforms, etc. Facilitate account access, training and troubleshooting support for appropriate users. Maintain an inventory of the department’s technology equipment. Retrieve and share data points from these varied sources in timely and accurate reports to the Director and the team.
  3. Customer Service: Assess and respond to inquiries from students, families, and campus partners. Serve as the team lead in coordinating the department’s efforts to provide accurate, timely and responsive customer service across various platforms. Assist in training professional and student staff in customer service skills. Share trending concerns with the Director and team colleagues in a timely manner.
  4. Program Logistics: Support the logistical needs of new student and family programming and resources. Specifically, logistics may include room reservations (virtual/in-person), fulfilling accommodations requests, organizing parking/traffic plans, managing reservation systems and volunteer schedules. Serve on various event and program planning committees (eg, Welcome Week/Move-In, Family Weekend, and in-person orientation programs) in order to inform and support team efforts.

Supervisory Responsibility

  • Supervise 1-2 student assistants/orientation chairs.

Position Type/Expected Hours of Work

  • Full Time, 35 hours/week, with occasional evening and weekend commitments.
  • Specialist B.
  • Non-Exempt.

Salary Range

  • $23.94/hour.

Required Education and Experience

  • High school diploma or equivalent.
  • 1-3 years of relevant experience.

Preferred Education and Experience

  • Bachelor's degree or equivalent.

Additional Eligibility Qualifications

  • Incumbent must possess outstanding written, verbal, and interpersonal communication skills.
  • Experience successfully working independently as well as part of a team with a collaborative approach to problem solving.
  • Experience coordinating large-scale programs and/or events.
  • Experience collaborating with multiple campus departments to provide services is highly preferred.
  • Highly proficient, professional experience in word processing, spreadsheet management, and Google apps.
