Summary/Objective

The HR Administrative Assistant manages the front desk reception function for of the Human Resources Department as well as the Payroll and Budget Offices to ensure efficient business operations. The incumbent will supervise and coordinate the work duties of the front desk student employees.  Duties include but are not limited to providing service to walk-in customers, answering and screening incoming calls, overseeing supply orders and distributing and coordinating the timely payments of HR office invoices, purchase orders, and disbursement requests. The HR Administrative Assistant will also provide back-up support to the Records Specialist on employment verifications. 

Supervisory Responsibility

  • Reporting to this position are 2-3 front desk student employees.

Work Environment

  • This position reports to the Director, Service Delivery along with 2 HR Coordinators, 1 Assistant Director of Faculty Administration and a Records Specialist.
  • Reporting to this position are 2-3 front desk student employees.
  • This position provides office management support for the 40 HR and Payroll staff, The front desk team provides the first line of customer service to approximately 50% of the department’s customer contacts.

Position Type/Expected Hours of Work

  • Work hours are 8:45 am - 5:00 pm; Monday through Friday

Salary Range

  • $20.00-$22.00/hour

Required Education and Experience

  • High school diploma. Bachelor’s degree preferred
  • A minimum of 1 - 2 years of customer service and administrative experience required 
  • Excellent communication skills (oral and written) are essential
  • Experience with Microsoft Office: Outlook, Word, Excel and PowerPoint programs are required
  • Ability to handle confidential information

Preferred Education and Experience

  • Prior supervisory experience preferred
  • Prior office management or invoice processing preferred 
  • Experience using Colleague or similar product preferred
