The Library Systems Coordinator is responsible for maintaining a high level of engagement and development of technical expertise regarding the library systems and technology used by the University Library with particular focus on assisting with the maintenance and configuration of the Integrated Library System, and development of successful automation of workflows. Duties include optimizing workflows, monitoring and investigating enhancements, ensuring the continuity and connectivity of data between systems, promoting their full potential, and ensuring the quality and effectiveness of library software, applications, interfaces, and queries.

This position supports users of University Library systems across the entire organization from multiple departments to ensure that workflow needs are being met. The incumbent maintains a list of systems projects and requests, evaluating them for impact and ease of implementation. Additionally, the position leads quarterly testing of new Alma features and assists with or leads their implementation as appropriate.

Essential Functions

  1. Assists with configuration of the University Library’s cloud-based library unified services platform. Leads or collaborates in the implementation, support, and maintenance, of applications, including but not limited to the library services platform and other systems as implemented or requested. Leads the cross-functional Alma Management Team, plans and directs testing and integration of monthly release functionality for Alma and Primo in both our production and sandbox environments. Monitors system functionality effectiveness and makes changes where needed. 
  2. Using knowledge of low-code/no-code platforms(such as Microsoft Power Platform/Power Automate), basic scripting, and interoperability standards creates connections between library and other University systems such as Alma/Alma Analytics, Ares, ILLiad, the Springshare suite and Microsoft Office and Microsoft Teams Leverage the potential of the systems used by the University Library, building bridges between them, maximizing automation, allowing workflows to be as seamless as possible Investigate best practices, add-ons, and application programming interfaces for cloud-based and local implementations of systems and provide support when necessary. 
  3. Works collaboratively with all University Library public and technical services staff to ensure systems are optimized and interoperable with the goal of providing a positive and seamless user experience from both the public and staff perspectives.
  4. Initiates and encourages engagement from all users of Alma to submit proposals for improved workflows and manages those requests; complete these projects in coordination with library goals. Conduct periodic training sessions on relevant technology systems so they are conversant with computing technologies, particularly best practices in the use of Alma, Office 365, ServiceNow, etc. 
  5. Supervises part time graduate student and/or undergraduate employees in projects related to data entry, data cleanup, and system rearchitectures and other library systems support. Trains part-time employees in basic functions of systems as needed for work. Responsible for hiring, scheduling, onboarding, coaching, evaluation and payroll.

Supervisory Responsibility

  • Management of 1 – 2 part-time graduate students assisting with data entry.

  • Full time, 35 hours/week.

Salary Range

  • $64,695- $72,953/year, commensurate with experience.

Required Education and Experience

  • Bachelor's degree.
  • 2-4 years of relevant experience.
  • Experience using the Alma library management system.
  • Experience facilitating application integrations; a working knowledge of system interoperability tools such as APIs.
  • Demonstrated ability to learn new technologies.
  • Ability to troubleshoot and resolve application-related technical problems.
  • Ability to recommend and support decisions on process and workflow changes.
  • Demonstrated ability to effectively communicate technical information in a clear and understandable manner to diverse audiences.
  • Demonstrated high customer service, diplomacy, and professionalism.
  • Excellent interpersonal skills that reflect a commitment to inclusion and the ability to develop strong working relationships with a dynamic and diverse community.
  • Ability to communicate effectively (both verbally and in writing).
  • Ability to participate in planning and implementing of short and long-term goals.
  • Experience managing successful short-term projects in a collaborative team environment.

Preferred Education and Experience

  • Master's degree or equivalent.
  • 4-6 years of relevant experience.
  • Experience configuring the Alma Management system including the management and editing of code-tables and advanced settings.
  • Experience using low code and no code platforms such as Microsoft Power Automate, AirTable, or Google AppSheet.
  • Experience with Primo VE.
  • Experience working within Alma’s Network Zone architecture.
  • Experience in library consortia.
  • Experience with scripting languages (e.g., Python, JavaScript).
  • An understanding of bibliographic and metadata tools (e.g., MARC records, BIBFRAME, Dublin Core, EAD, OpenURL, OAI-PMH, SWORD, link resolvers, knowledge bases.)
  • Experience with open-source software and applications.

That means the terms and conditions of your employment are governed by university policy (including the Staff Personnel Policies Manual) and any collective bargaining agreement entered into between American University and SEIU Local 500.
