Marketing & Communications Coordinator for the Arts (13380)

The Marketing and Communications Coordinator is responsible for publicizing the visual and performing arts events for the College of Arts and Sciences. The incumbent will work closely with faculty and staff in the Art Department, Department of Performing Arts, Katzen Arts Center, Greenberg Theatre as well as individuals throughout the College and University to provide a consistently high level of exposure for the arts. The individual creates content and coordinates the production and distribution of marketing and communication materials related to all art and performing arts programs, including the DPA performance programs and visual branding, which typically includes posters, brochures, and social media.

Essential Functions

  1. Develop strategy and generate content for AU Arts with program directors, faculty, and staff, for programs, posters, postcards, ads, flyers, season brochures, email blasts to potential audiences, and other printed and digital materials. Provide assistance with writing, editing, and designing as required to assure that marketing materials meet university standards and ADA accessibility regulations, and are produced in a timely fashion. Coordinate with directors and assistants on photo shoots and to collect performers’ and other individuals’ biographies for programs and edit them for publication in programs. Liaise with designers, printers, and mail houses, and oversee distribution of printed materials.
  2. Website, Social Media, and Other Online Outreach: Work with the CAS webmaster to provide information for the AU Arts, Katzen, and Greenberg websites. Direct the AU Arts social media presence, including Facebook and Twitter. Maintain mailing lists for AU Arts, and coordinate e-mail blasts for upcoming events and AU Arts announcements. Oversee submission of all AU Arts events to AU community online calendars and listings including Today@AU, AU Neighborhood Newsletter, AU Alumni Newsletter, and University Marketing and Communications’ media advisories, as well as local online and print calendars.
  3. External Press/Media Promotion: Work with University Marketing and Communications to seek external press and media coverage, and book and submit advertisements and listings for media outlets, as well as reviews and feature articles.
  4. Budget and Expenses: Prepare annual AU Arts promotional budget with the College and Katzen Facilities and Operations Manager, department chairs, and Greenberg Production Manager. Monitor and maintain ongoing record of all marketing, publication and promotional expenses at budget level agreed upon, and provide semester budget forecasts and actuals.

Work Environment

  • The worker normally performs their job indoors in an office environment.
  • The worker may be required to work evenings and/or weekends. Periodically provide assistance for evening and weekend events related to AU Arts content development.

Salary Range

  • Commensurate with experience.

Required Education and Experience

  • Bachelor's Degree in Marketing; or closely related field
  • 2-4 Years experience in communications or marketing field
  • Excellent written and oral communication skills
  • Must demonstrate strong organizational skills, attention to detail, the ability to work on multiple tasks, and a collaborative work style
  • Technical experience using content management systems, social media and email marketing software, Adobe Creative Suite, including InDesign and Photoshop, Constant Contact email system, and Microsoft Office is required
  • Familiarity with ADA Accessibility requirements for online and print

Preferred Education and Experience

  • < 1 Year graphic design experience
  • < 1 Year experience in the arts and the local arts community
  • < 1 Year experience working with students and especially supervisory experience
  • < 1 Year website accessibility familiarity

Additional Eligibility Qualifications

  • Ability to express oneself clearly and concisely, using language with precision; constructing logical arguments; accurate note taking, editing and summarizing; and writing reports or correspondence free of spelling and grammatical errors. Ability to engage in active and empathetic listening and communicate with a service minded orientation.
  • Ability to review ones own and others work and information to ensure completeness and accuracy; carefully prepare for meetings and presentations; organize information or materials for others; follow up with others to ensure that agreements and commitments have been fulfilled; set up procedures to ensure high quality of work.

Engages in active listening while seeking and accepting feedback in anon-defensive manner. Readily shares pertinent knowledge and information to co-workers and customers. Demonstrates effective listening skills and asks questions; offers input for positive results.
  • Project management skills, through experience demonstrating activities such as: project planning, resource estimating, tracking/oversight, scheduling tasks, negotiating deliverables, project administration and status reporting.
  • Skill using creative software products such as Prezi, Adobe Creative Suite, QuickTime Pro sufficient to develop engaging marketing and promotional materials.
