About the Department/Unit

The Office of Global & Immersive Studies creates and provides study programs at AU, elsewhere in the United States, and abroad that serve AU’s mission to educate citizens capable of engaging with complex global issues. These programs are characterized by their integration of rigorous academic engagement with experiential learning. Programs include our more than 150 study abroad and exchange programs across the globe, including our AU Centers in Brussels, Madrid, and Nairobi; experiential-based programs in DC and other U.S. cities; and our English language and bridging programs designed for international students who wish to begin their university studies in the U.S. The experiential components amplify and extend the liberal arts learning that occurs on campus while enhancing students’ global engagement.

Summary/Objective

The Advisor serves a vital role to help recruit and support students from the Washington Semester Program (WSP) and AU Gap. This position is ideally suited for someone who enjoys engaging with students, career development, marketing, social media, researching, data management, and database entry.

The Advisor carries out a wide range of functions to support marketing strategies and internship placements. They directly interface with applicants (via email, phone, and/or Zoom), use the campus’ CRM (Ellucian Recruit), Symplicity software, Canvas, and spreadsheets to assist in the update of tracking data. This position also provides support for WSP recruitment efforts, including student webinars, providing relevant event preparation, delivery, and follow-up.

This position reports directly to the Director, Washington Semester Program in the Office of Global and Immersive Studies. It works with WSP administrators, student applicants and admitted students, faculty members, as well as other campus units and support services.

Essential Functions

  1. Student Recruitment Outreach: Develop lists of possible new partner affiliates for AU WSP. Compile lists of study abroad, social sciences, and business professor contacts at select schools. Reach out to WSP and Gap program applicants to ensure they are engaged in the application process. Promote WSP on social media.
  2. Internship Placement Support: Data enter updates in internships in Intern & Learn (Symplicity software). Manage internship web updates. Update old internship listings. Oversee individual progress though 100% completion of these steps: (1) resume cover letter reviews, (2) applications and follow-up, (3) interviewing and decision making, (4) placement confirmation and goal setting, (5) self-assessment and evaluation at mid-term and end of semester. Call, text, email students to encourage placement progress. Advise students about internship choices for high satisfaction.

Position Type/Expected Hours of Work

  • Part-Time; Hourly.
  • 15-21 hours a week, possibly more during orientation week.
  • The work can be done remotely or in-person.

Salary Range

  • $30 per hour; to commensurate with experience.

Required Education and Experience

  • Bachelor’s degree or equivalent in education, training, and experience.
  • Excellent interpersonal, written, and verbal communication skills with a customer service orientation.
  • Ability to work in a fast-paced, deadline-driven environment; be a proactive self-starter; adapt and operate at a high level of efficiency with moderate direction and supervision; complete multiple assigned tasks independently and on schedule.
  • Excellent administrative and organizational skills.
  • Team-oriented with an ability to foster positive and productive working relationships in a professional and courteous manner with students, staff, and faculty.
  • Proficiency in MS Office software applications (Excel, Word, PowerPoint, Outlook) and Zoom.
  • Ideal: proficiency in Ellucian Recruit, Symplicity, and Canvas.

Preferred Education and Experience

  • Experience in a front-line customer service role.
  • Employment in a higher education setting, including communication and internships.
  • Experience managing sensitive information and maintaining confidentiality.
  • Familiarity with Ellucian Recruit CRM or other customer relationship management software Colleague, Symplicity, Handshake, Qualtrics, and Canvas.

Additional Eligibility Qualifications

  • Background in communications, marketing and advising.
  • Savvy with data/software management.
  • Requires initiative and autonomy.
