Payroll Specialist (1607)

This position processes and audits the essential steps for production of Biweekly and Monthly payrolls. This includes the auditing of electronic timesheets and leave reports, entering paper timesheets and leave reports, entering of tax withholding forms, direct deposit requests, and various payroll type deductions. This position ensures compliance with federal and state regulations. The staff member will calculate, process, and issue retroactive pay, separation/termination payouts and manual checks for all employees who fall within the defined university section.  This position assists in the production and distribution of payroll checks.  This position requires strict adherence to critical deadlines.

Essential Functions

  1. Monitor and audit electronic time sheet and leave report submission for accuracy and compliance with university policies and procedures. Enter all tax forms, direct deposit and Pay Card requests into Colleague. Prepare and issue and monthly and bi-weekly payroll to ensure receipt of payments on scheduled pay dates.  Withhold appropriate federal and state taxes to ensure compliance with legislation; Input hours worked from paper time sheet submission as reflected on bi-weekly timesheets, and/or verify leave hours taken as reflected on the monthly leave reports to ensure no excessive use of accrued and/or approved leaves.  Monitor and process payroll selections for pay card, direct deposit or checks. Print, prepare and distribute any paper pay checks produced.
  2. Process all payroll related miscellaneous deductions into Colleague and ensure accuracy of withholdings. This includes parking, metro transit (Metrochek), Fitness Center, child development, season tickets and AU Gift deductions.
  3. Research, resolve problems concerning faculty, staff, and students earnings and deductions while maintaining the confidentiality required.  Calculate and submit various accounting and payroll adjustments such as separation/termination payouts, retroactive payments, multi-job overtime, short term disability and other miscellaneous type payments. Interact with other departments for precise and punctual payments.  Respond to customer inquiries via email, phone or in person. Prepare gross up calculations as requested.
  4. Assist with preparation and distribution of year end W-2 reports. Organize/alphabetize tax forms, direct deposit forms, time sheets and leave reports for filing.

Work Environment

  • This position reports to the Payroll Administrator and is one of 10 positions on the payroll team. 
  • This position requires interaction with the HR delivery teams, managers, supervisors and employees within their respective areas of assignment across the university.

Required Education and Experience

  • AA degree and at least two years of accounting or payroll experience, or a combination of education and experience which demonstrates the necessary skills and abilities required for the position.
