Summary/Objective

The Senior Administrative Assistant provides administrative support in the Office of Development and Alumni Relations, assisting the Assistant Vice President of Development, schools and colleges, as well as, other staff members as directed by the AVP. Responsibilities include but are not limited to processing mail; answering phones; scheduling meetings; appointments and travel (including arrangements); transcribing correspondence and phone outreach to constituents; organizing and maintaining filing systems; assisting with events; and other meetings held by the AVP; making on-campus deliveries or pick-ups of materials; reconciling credit card transactions of the AVP; conducting basic research (for names, phone numbers and addresses); and producing mailings and meeting materials.  In addition, the Senior Administrative Assistant will draft internal and external correspondence.  The Senior Administrative Assistant will interact with senior administrators and important alumni and donors to the University.

Essential Functions

  1. General Administrative duties, including but not limited to processing mail; answering phones; scheduling meetings, appointments and travel calendar for the assistant vice presidents, (including making arrangements); transcribing correspondence; organizing and maintaining filing systems; reconciling credit card transactions for the avp; and producing mailings and meeting materials.
  2. Drafting internal and external emails, messages, memoranda regarding projects, policies or activities of the Office of Development.
  3. Conducting basic research (for names, phone numbers and addresses); updating records in database system (trip reports, contacts).
  4. Assist with events; assists with logistics and communications related to Schools and Colleges; making on campus deliveries.
  5. Other duties as assigned.

Work Environment

  • The Senior Administrative Assistant reports to the Assistant Vice President of Development, Schools & Colleges
  • The Senior Administrative Assistant has no supervisory or budgetary responsibilities, but may coordinate work-study students on specific projects.

Position Type/Expected Hours of Work

  • Full-Time.
  • Specialist A.
  • Non-Exempt.

Salary Range

  • Commensurate with experience.

Required Education and Experience

  • A high school diploma plus at least three years’ work experience providing administrative support, or equivalent in education, training and experience, are required. 
  • Internships, summer jobs, and other volunteer activities may be considered toward this requirement.

Additional Eligibility Qualifications

  • Excellent oral and written communication skills. A writing sample may be required.
  • Attention to detail in project management and proofreading.
  • Courteous and pleasant demeanor on phone and in person.
  • Discretion and confidentiality.
  • Ability to handle multiple projects simultaneously in a deadline-oriented environment.
  • Proficiency using MS Office suite, especially with Word and Excel. This position will be expected to use these tools to complete tasks with minimal supervision or direction.
  • This position requires a basic understanding of higher education development work and the ability to think analytically.
