Summary/Objective

This position supports the day-to-day business operations for the School of International Service. The position will assist with monitoring expenses and payments for all funds (operational, grants & contracts, etc.). The incumbent assists with processing financial transactions, reconciling expenses.

Essential Functions

  1. Supports the day-to-day financial operations, which includes processing transactions associated with payment of invoices, reimbursement requests, PSA’s and credit card transactions. Works with the Accounts Payable Office and with the Purchasing Office to resolve issues so that invoices are correctly processed and purchase orders properly prepared. Reviews employee travel and expense reimbursements. Prepares complex purchase requisitions, tracks purchase orders on Datatel Colleague Financial System. Assists with resolving problems with vendors, reviewing Professional Services Agreements, reconciling corporate credit card transactions, and preparing cost transfer requests to allocate expenditure to proper accounts.
  2. Assists in retaining detailed accounts for all expenses and reimbursements. Maintains a computerized tracking system for all purchasing invoices and reconciles these expenses against the general ledgers. Assists with record-keeping, monitoring, analysis and reporting, to ensure accurate and timely financial management for the school.
  3. Administrative Support - Responsible for clerical duties and assists with daily office operations such as: typing documents, creating, and maintaining spreadsheets, filing, inventory maintenance etc.
  4. Other duties as assigned.

Position Type/Expected Hours of Work

  • The position is 20 hrs/week

Salary Range

  • $17/hr

Required Education and Experience

  • High School Diploma
  • At least two years’ experience providing administrative support.
  • Excellent organizational skills, attention to detail, written and verbal communication skills, and ability to deal with multiple projects are required.
  • Knowledge of word processing (Word Perfect or MS Word) and Spreadsheet (MS Excel) skills required.
