Program Assistant, Public Service Work Study Program

Position Description

The AU Career Center is seeking a Program Assistant for the Public Service Work Study Program. This program connects student Federal Work Study (FWS) award recipients to meaningful, part-time employment in the public service sector (nonprofit and government organizations).  The Program Assistant is an AU graduate student who assists in the administration of the program through routine correspondence with established community partners, student recruitment, overseeing student award tracking and payroll, and assisting with hiring.

Duties and Responsibilities

  1. Community Partner Outreach: Maintain relationships with community partners at the direction of the Career Center’s Student Employment Coordinator, updating materials for student recruitment and orientation, post work study positions to Handshake upon approval
  2. Student-Focused Outreach: Assist with recruitment of students through revision and updating of outreach materials. Monitor and respond to student inquiries about Public Service Work Study Program.
  3. Hiring and Payroll Coordination: Submit hire requests and ensure tax forms, direct deposit, schedule As, and all I-9s are on file for new hire. Maintain electronic and physical file systems of students, employers, and expenditures. Track FWS earnings and monitor their nearness to completion. Monitor student payroll and processing of timesheets in accordance with program regulations. Follow-up with students and community partners regarding payroll matters and monitor all required supporting documents. Conduct 1:1 new hire orientations.
  4. Reporting and Invoicing: Assist with required federal reports and internal audits, maintain FWS student records. Prepare, distribute, and aid in collecting payment from invoices.

Educational Requirements

  • Must be a current or incoming American University graduate student.

Minimum Requirements

Demonstrated attention to detail.
Excellent communication skills and ability to work as part of a team.
Familiarity with MS Excel; comfort with technology and ability to learn new programs.
Excellent problem-solving skills.
Previous administrative experience.
Flexibility, initiative, and ability to work independently.

Preferred Qualifications

  • Affinity for and/or strong accounting skills.
  • Ability to work with large amounts of data.

Time Commitment

  • 12-15 hours per week.
  • This position will start in August 2022 and run through May of 2023. Start date is flexible, but preferable in mid-August.  Candidates must be available for the entire Fall 2022 and Spring 2023 Semesters. (Ability to continue during the AY 23-24 is ideal but not required.)

Salary Range

  • Starting wage is $18 per hour, commensurate with experience.
